Guide: How to Book

The Kids’ Club is now using a new online booking system through renowned UK company; Magic Booking. This system allows you to have more control over your bookings at the touch of a button, whilst offering an efficient and contemporary alternative to our previous methods. Worry not – we are still always available over the phone or via email too! Below, we have put together a handy how-to guide on creating your account and getting started with us. Please ensure you also take some time to read the Terms and Conditions and Privacy Notices provided on our ‘MagicBooking’ page on our website; as you will be asked to agree to these when creating your account and making bookings.

How To Register Your Account

 

  • Click on this link, to take you to the ‘Log In’ page; https://thekidsclub.magicbooking.co.uk

  • To create an account, click ‘Create one here’, shown under the ‘Log In’ button.

  • Fill in all of the required fields. (Please note: an error that can occur, which prevents you from completing account creation, is pressing the space bar after your postcode. Please ensure that you do not enter a space after entering your postcode).

     

  • You will receive a verification email to activate your account, once all fields have been filled in. This email may go into your junk or spam folder, so please ensure to check here. Click the activation link shown in your email, to verify and activate your account. 


How To Register Your Child/ren

 

  • Once you have verified your account, you will be able to Log In and set up your child/ren profiles.

  • Please note that children profiles need to be created, before any bookings can be made.

  • Once logged in, click on the drop-down menu and select ‘Children’.

  • Next, press ‘Add child’ and then fill in all of the required fields.

  • Repeat these steps for all of your children.

  • Please note that in the ‘Children’ section of the account, it is vital that you enter the relevant information of all approved ‘Collectors’ – as children can only be signed out from club to those named in this ‘Collectors’ section. 


How To Make A Booking

 

  • When Logged In, click on the drop-down menu and select ‘Book Activity’.

  • Click on the required activity. Please ensure you are selecting the correct school for our After School Club and/or the correct holiday for our Holiday Club.

  • Click on ‘Book Now’, once you have located the relevant and correct activity, then select the child/ren you wish you to book onto this activity.

  • Select the required session time and the days which you require – for the relevant period of dates. You can change the date selection time too in this section.

  • If you require ad-hoc days, please tick the ‘Ad-hoc days?’ box. You can select all dates required and change session times, if you wish to have different session times on different days/weeks, etc.

  • Once you are happy with your selection, you can add the dates to your basket.

  • If you only require booking for this activity, at this time you can continue to the next step.

  • If you would like to make further bookings and have them all on the same invoice this way, you can then spread the cost out further with your After School Club and Holiday Club bookings, or multiple Holiday Club bookings, in one place.

  • You can add further bookings to your basket before heading to the checkout, by following the above steps until you are happy to continue.

  • Press ‘Next’ once you are happy with all activities that have been added to your basket.

  • You can then review all activities that have been added to your basket, to check that all dates and session times are correct for what you require.

  • Below, this will give you the total cost of all of your bookings and will give you the option to ‘Pay later’. We advise against this option, as unfortunately the system doesn’t give you the option to select a future date and your account will show as outstanding. You will also be prompted to tick The Kids’ Club T&Cs box at this time. You can then submit your booking.

  • Underneath this will also give you a further two options of either ‘Pay monthly’ or ‘Pay Now’. Please ensure that you select your preferred payment option, as you will not be able to go back yourself and change to a payment plan. If you have booked in advance, please put in the date you wish to start your payments from. This will also avoid having ‘overdue account’ emails continually sent out to your inbox. Having ‘overdue payments’ on your account may prevent you from making further bookings.

  • Once your preferred payment option is selected and set, please then click The Kids’ Club T&Cs box, and submit your booking.

How To View Your Bookings

 

  • Once Logged In, click on the drop-down menu and select ‘Bookings’.

  • Here, you can view your upcoming instalments, view the days you have booked, and make a payment on different activities you have booked. 

  • You can also cancel and/or add dates to your current bookings in this section – to keep your payments in one place – and this will update your monthly payments instantly.


How To Cancel Dates

 

  • Once Logged In, click on the drop-down menu and select ‘Bookings’.

  • Select the booking you would like to amend by clicking the reference number or the green cross button and then click ‘view’.

  • Click on ‘amend dates’ – make sure ‘cancel dates’ is selected.

  • Click on the activity, session time, required time frame, day(s) and child/ren you need to cancel.

  • The system will then allow you to view the dates that you are cancelling. If you are happy with the dates that are to be cancelled, you can then click ‘cancel dates’.

  • This will then readjust your monthly payments/amount to be paid if it is within the designated cancellation period. If it is out of the cancellation period, no credit will be applied, and you will be charged for the cancellation due to short notice. 

How To Add Dates

 

  • Once Logged In, click on the drop-down menu and select ‘Bookings’.

  • Select the booking you would like to amend by clicking the reference number or the green cross button and then click ‘view’.

  • Click on ‘amend dates’ – make sure ‘add dates’ is selected.

  • Click on the activity, session time, required time frame, day(s) and child/ren you would like to add.

  • The system will then allow you to view the dates you are adding. If you are happy with the dates that are to be added, you can then click ‘add dates’.

  • This will then readjust your monthly payments/amount to be paid, adding on the newly added sessions to your current payment method.
